The Controller of Examinations (C of E) office maintains records of students' and graduates' results, grades, transcripts, and all academic and non-academic certificates. This office also deals with issues related to examinations, convocations, the processing of graduation applications, examination schedules, and the authentication of Certificates and Transcripts issued by NSU.

Examination Policies and Guidelines

The final examination is conducted at the end of each semester as per the academic calendar schedule. The Office of the C of E prepares the examination schedule according to the class schedule and publishes it on the NSU website.

 

General Guidelines to be Followed (for Faculty Members/ Invigilators)
  • Exams should be conducted in the assigned room and must start on time.
  • Department Chairs are requested to inform the course teachers, to make a seating plan and conduct the exam accordingly.
  • Faculty members/invigilators check the students’ NSU ID cards and their reporting time to the examination room (students must report to the examination room at least 10 minutes before the examination starts).
  • Faculty members/invigilators must ensure the students enter the examination room silently and put their bags and books in the designated Bag Zone.
  • Faculty members/invigilators must ensure the students switch off their mobile phones, smartwatches, or similar electronic data storage or communication devices and leave them in the designated Bag Zone in the examination room.
  • No person will be allowed to enter an examination room during the examination except the candidates concerned and the rightful exam supervisors.
  • Students shall not communicate with one another in any manner whatsoever during the examination. Students may not leave the examination room without permission from the proctor (respective invigilator) for any reason, including washroom use.
  • In general, Students will not be permitted to enter an examination room later than fifteen minutes after the commencement of the examination nor leave the room until at least half an hour after the examination has commenced.
  • If any student is found resorting to unfair means during the exam, his/ her exam may be canceled and disciplinary action will be taken.
  • Faculty members/invigilators are requested not to use mobile phones during invigilation.
  • Faculty members/invigilators are requested not to undertake any other activities, such as marking exams, reading any material or engaging in conversation during invigilation.
  • TAs, if they assist the Faculty member/invigilator, must refrain from communicating with students (students are smart enough to get hints from TAs).

 

General Guidelines to be Followed (for Students)
  • Exams will be conducted in the assigned classrooms at the scheduled times as per the examination routine.
  • Students must bring their NSU ID and be present in front of the exam rooms at least 10 minutes before the exam starts.
  • Students must quietly enter the exam room and put any bags and books in the designated Bag Zone.
  • Students must switch off mobile phone, smartwatch, or similar electronic data storage or communication devices and leave them in the designated Bag Zone in the exam room.
  • No person will be allowed in an examination room during the examination time except the candidates concerned and those supervising the examination.
  • Students shall not communicate with one another in any manner whatsoever during the examination. Students may not leave the examination room without permission from the faculty member/invigilator for any reason, including using the washroom.
  • In general, students will not be permitted to enter the examination room later than fifteen minutes after the commencement of the examination nor to leave except under supervision until at least half an hour after the examination has commenced.
  • If any student is found resorting to unfair means during the exam, his/ her exam may be canceled, and disciplinary action will be taken.

Description of TGPA and CGPA

Term Grade Point Average (TGPA)

The grade point average of all courses completed within a given trimester/ semester of study.

 

Cumulative Grade Point Average (CGPA)

The grade point average of all courses completed within a level of study. Final CGPA is calculated excluding ‘Courses Waived’ and courses with grades marked with I, W, F, and X.

  • The transcript shows the grade for each course and a cumulative result for all courses for which the student was enrolled in North South University.
  • Courses that are waived do not display any grade. They are presented by name and number of credits.
  • Credits accepted as transfer from other universities are counted towards degree, except for CGPA calculation.
  • CGPA is calculated by dividing Total Grade Points by Total Credits Counted.
  • In case of retaken courses, only the better grades are counted in the CGPA calculation but the grade point of the course previously done is shown in the transcript as 0.0.

  • The Chancellor’s Gold Medal is for the recipients of the highest CGPA for Undergraduate and Graduate programs. The criterion is valid for the year 2003 and onward.
  • * The Vice Chancellor’s Gold Medal is for the recipients of the 2nd highest CGPA for Undergraduate and Graduate programs. The criterion is valid for the year 2003 and onward.
  • ** This criterion is valid for the year 2001 and onward.
  • Only the undergraduate students are eligible to get the Summa Cum Laude, Magna Cum Laude, and Cum Laude awards. 

 

Authenticity
  • Official Transcripts are printed on security papers with an embossed seal of North South University and are signed by the Controller of Examinations.
  • The face of this document has the name of the University (NSU) in small green print vertically on the document’s left. It contains a hidden logo of NSU at the center, visible on exposure to Ultra-violet light. 
  • A black and white document is not an original and should not be accepted as an Official Institutional Document. 
  • This transcript cannot be released to a third party without the student’s written consent.
Certificates (Forms and Application Procedure)
Main Degree Certificate

The office of the C of E notifies the dates on which the graduates are to collect their Main Degree Certificate after the Convocation.

Required Documents for Collecting the Main Degree Certificate:

  • Attested photocopies of Certificates and Mark Sheets of SSC/O level & HSC/A level, Provisional Certificate (if collected) Bachelor’s degree (for those who have completed graduation).

N.B. – If anyone needs help providing the attested photocopies of Certificates and Mark Sheets, they are requested to show the Original Certificates and Mark sheets with photocopies to the C of E's office.

  • Graduates must return the original NSU Student ID Card.

N.B. – If the original NSU Student ID Card is lost, the student must lodge a General Diary (GD) at the concerned Police Station and submit the original copy of the General Diary (GD) to the office of the C of E.

 

Provisional Degree Certificate

Application Procedure:

  • Students will be eligible to apply for their Provisional Degree Certificate after the final approval of their degree analysis from the Controller of Examinations.
  • Students must apply through RDS for the Provisional Certificate.

Application Fees:

  • BDT. 2,000/- (Payment must be made through RDS).

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Provisional Certificate is ready to be delivered.
  • To collect the Provisional Certificate, the applicant must provide a printout of the email sent by the office of the C of E, or the verification code available on their RDS.

 

Studentship Certificate

Application Procedure:

  • Only enrolled students are eligible to apply for a Studentship Certificate.
  • Students must apply through RDS for the Studentship Certificate.

Application Fees:

  • BDT. 100/- (Payment must be made through RDS).

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Studentship Certificate is ready to be delivered.
  • To collect the Studentship Certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Medium of Instruction Certificate

Application Procedure:

  • Both enrolled students and graduates are eligible to apply for the Medium of Instruction Certificate. 

The application must be made through RDS. Graduates who do not have access to RDS may submit the complete application form (Application Form for Medium of Instruction Certificate (COE Form-4) to the office of the C of E.   

Application Fees:

  • BDT. 100 TK (Payment must be made through RDS).

Graduates who don't have access to RDS are requested to pay the fee at the nominated bank and submit the payment slip when submitting the complete application form.

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Medium of Instruction certificate is ready to be delivered.
  • To collect the Medium of Instruction certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Character Certificate

Application Procedure:

  • Both enrolled students and graduates are eligible to apply for the Character Certificate. 

The application must be made through RDS. Graduates who do not have access to RDS may submit the complete application form Application Form for Character Certificate (COE Form-6) to the office of the C of E.   

Application Fees:

  • BDT. 100 TK (Payment must be made through RDS).

Graduates who don't have access to RDS are requested to pay the fee at the nominated bank and submit the payment slip when submitting the complete application form.

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Character Certificate is ready to be delivered.
  • To collect the Character Certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Testimonial

Application Procedure:

  • Only graduates are eligible to apply for the Testimonial. 

The application must be made through RDS. Graduates who do not have access to RDS may submit the complete application form (Application Form for Testimonial (COE Form-6) to the office of the C of E.

Application Fees:

  • BDT. 100 TK (Payment must be made through RDS).

Graduates who don't have access to RDS are requested to pay the fee at the nominated bank and submit the payment slip when submitting the complete application form.

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Testimonial is ready to be delivered.
  • To collect the Testimonial Certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.
 
Migration Certificate 

Application Procedure:

  • Both graduates and withdrawn students (who canceled their admission from NSU)  are eligible to apply for the Migration Certificate.

The application must be made through RDS. Students/Graduates who do not have access to RDS may submit the complete application form (Application Form for Migration Certificate (COE Form-4) to the office of the C of E.

Application Fees:

  • BDT. 100 TK (Payment must be made through RDS).

Students/Graduates who don't have access to RDS are requested to pay the fee at the nominated bank and submit the payment slip when submitting the complete application form.

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Migration Certificate is ready to be delivered.
  • To collect the Migration Certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Date of Result Publication Certificate 

Application Procedure:

  • Only graduates are eligible to apply for the Date of Result Publication Certificate.

The application must be made through RDS. Graduates who do not have access to RDS may submit the complete application form (Application Form for Date of Result Publication Certificate (COE Form-5) to the office of the C of E.

Application Fees:

  • BDT. 100 TK (Payment must be made through RDS).

Graduates who don't have access to RDS are requested to pay the fee at the nominated bank and submit the payment slip when submitting the complete application form.

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Date of Result Publication Certificate is ready to be delivered.
  • To collect the Date of Result Publication Certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Leave Certificate

Application Procedure:

  • Only enrolled students are eligible to apply for the Leave Certificate.

The application must be made through RDS (Online Application: Certificate for Leave of Absence (COE Form-7)

Application Fees:

  • BDT. 100/- (Payment must be made through RDS).

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Leave Certificate is ready to be delivered.
  • To collect the Leave Certificate, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.
Transcript (Forms and Application Procedure)
Official Transcript

Application Procedure:

  • Both enrolled students and graduates are eligible to apply for an Official Transcript.

The application must be made through RDS. Graduates who do not have access to RDS may submit the complete application form Application Form for Official Transcript (COE Form-3) at the office of the C of E.   

Application Fees:

  • 300 TK (Payment must be made through RDS).

Graduates who don't have access to RDS are requested to pay the fee at the nominated bank and submit the payment slip when submitting the complete application form.

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Official Transcript is ready to be delivered.
  • To collect the Official Transcript, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Unofficial Transcript

Application Procedure:

  • Only enrolled students are eligible to apply for an Unofficial Transcript. 
  • Students must apply through RDS for the Unofficial Certificate.  

Application Fees:

  • 100 TK (Payment must be made through RDS).

Document Collection Procedure:

  • The applicant will be able to track the progress of the application through RDS and will be notified through their NSU email when the Unofficial Transcript is ready to be delivered.
  • To collect the Unofficial Transcript, the applicant must provide a printout of the email sent by the office of the C of E or the verification code available on their RDS.

 

Degree Application Procedure
Degree Application Procedure
  • According to the NSU policy, after completing all requirements of a respective degree, a student qualifies to initiate the process of degree analysis through RDS within the date given by the office of the C of E.
  • Approved students are granted the opportunity to join the upcoming convocation. 
  • Therefore, students who have completed all requirements for their respective degrees are
    advised to apply for degree analysis through RDS as soon as possible.
  • Student ID numbers that contain a 6 as the third digit from the right (e.g. *******6**) are requested to contact the Registrar's Office in order to update their documents.
  • No application without such correction shall proceed through RDS.
  • Students are requested to check their profile in RDS and update the following:

-          Name

-          Date of Birth

-          Parents Name

 

According to the SSC Certificate/Passport

  • Photo (most recent)
  • Those who received waivers in MAT112/MAT116 and ENG102 are advised to contact the Registrar’s Office to update the information in their transcript.
  • Those who have I/X against any course, are requested to contact the Registrar’s Office/Respective Departments for necessary correction.
Authorization
Authorization

Students/Graduates may authorize anyone to collect their Transcript, Main Degree Certificate, Provisional Degree Certificate, and other Certificates by providing the following documents.

  • Complete form (adequately filled out)
  • Photocopy of NID of the authorized person
  • Copy of the email or delivery slip.
